RepRoom exists to help chiropractic teams practice real conversations and get better at them. Every “patient” your team talks to in RepRoom is a completely fictional AI character — invented names, invented histories, invented personalities and circumstances. No RepRoom persona represents, is based on, or is derived from any real person. Any resemblance to a real individual is coincidental and unintended.
Because RepRoom is built purely for practice, it is designed to operate without ever handling protected health information (PHI).
That means no real patient names, dates of birth, addresses, phone numbers or emails, insurance or account numbers, medical record numbers, photographs, or any diagnosis, treatment detail, or other information tied to an identifiable real person. When you practice, use the fictional scenario in front of you — never a real case from your office. If you want to rehearse a situation a real patient inspired, change the details. Give it a made-up name and made-up specifics. The skills transfer; the private information stays where it belongs.
Keeping real patient data out of RepRoom is what allows RepRoom to remain a professional skills-training tool rather than a healthcare records system. It protects your patients, your practice, and every other office on the platform.
Account & roster information. When a practice is set up and staff are invited, we collect names, email addresses, and job roles.
Training activity. When your team practices, we store the practice sessions, their length, the AI scoring and coaching feedback, and aggregate usage such as minutes used.
Practice-call audio. Practice conversations may be recorded only if your office turns recording on. Recording can be left off entirely, in which case no raw audio is retained. Your office controls this setting.
Technical information. Standard information needed to operate and secure a web application, such as log and device data.
Payment information. Subscription billing is handled by our payment processor (Stripe). We do not store full card numbers on our systems.
We use this information to provide and operate the Service; generate scoring and coaching feedback; show practice owners how their team is engaging; process subscription payments; secure the platform and prevent abuse; and communicate with you about the Service.
We rely on trusted providers to operate RepRoom. They process data only to provide their service to us:
| Provider | Purpose |
|---|---|
| Supabase | Database & authentication |
| Vercel | Application hosting |
| Retell (and Twilio) | Voice-AI & telephony for practice calls |
| Anthropic | AI scoring/coaching of practice transcripts |
| Stripe | Subscription payment processing |
Each practice’s data is logically isolated from every other practice’s at the database level, and access is restricted to authorized people within that practice. We apply industry-standard security measures to protect information against unauthorized access.
We keep account and training data for as long as your practice maintains an active account, and for a reasonable period afterward unless deletion is requested. Practice-call audio is kept only when recording is enabled by your office, and is not retained when the setting is off.
Because RepRoom is administered by your practice, requests about your account (access, correction, or deletion) are generally handled through your practice administrator. You may also contact us at hello@getreproom.com and we will work with your practice to respond consistent with applicable law.
RepRoom is a workplace tool and is not directed to children under 16.
We may update this policy; we will post the new version with an updated date.
