Terms of Service

Last updated: September 24, 2026

These Terms of Service (“Terms”) govern your use of the RepRoom platform at getreproom.com and app.getreproom.com (the “Service”), operated by Rep Room LLC (“RepRoom,” “we,” “us”). By using the Service you agree to these Terms. If you are agreeing on behalf of a practice or organization, you represent that you are authorized to bind it.

1. What RepRoom is

RepRoom is a staff-training and skills-practice platform. Users practice realistic conversations with fictional AI characters and receive scoring and coaching feedback. RepRoom is a training tool — it does not provide medical, legal, financial, or professional advice, and it is not a system for storing patient records.

2. Accounts

Practices are set up by RepRoom or an authorized administrator, who invites staff. You are responsible for keeping your login credentials secure and for activity under your account. Notify us of any unauthorized use.

3. Acceptable use

You agree not to:

  • Enter real patient information into the Service. All AI patients are fictional. You must not input real patient names, identifiers, health information, or any protected health information (PHI) — see our Privacy & Patient Data page. Entering real PHI is a breach of these Terms, and responsibility for doing so rests with the user and practice that entered it.
  • Use the Service unlawfully, or to harass, abuse, or harm others.
  • Attempt to access another practice’s data, probe or breach security, or disrupt the Service.
  • Copy, reverse-engineer, resell, or create derivative works from the Service or its content except as expressly permitted.
  • Upload malware or use the Service to build a competing product.

4. AI-generated content

The Service uses artificial intelligence to simulate conversations and to score and coach performance. AI characters, names, personalities, and scenarios are entirely artificial and fictional. AI-generated scores and feedback are training aids, may contain errors, and should be used as guidance — not as a definitive evaluation or as professional advice.

5. Subscriptions and payment

Paid features require an active subscription. Fees, billing cycle, and any included usage are as presented at purchase. Payments are processed by our payment processor. Except where required by law or expressly stated, fees are non-refundable. We may change pricing on a going-forward basis with notice.

6. Your content

Your practice retains ownership of the content it submits (for example, custom scenarios or scripts). You grant RepRoom a limited license to host and process that content to provide the Service. You are responsible for having the right to submit it and for ensuring it contains no real PHI.

7. Our intellectual property

The Service — including its software, AI personas, rubric and coaching content, designs, and trademarks — is owned by Rep Room LLC and protected by law. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service while your subscription is active. No other rights are granted.

8. Confidentiality of the platform

Non-public aspects of the Service are confidential to RepRoom. You agree not to disclose them except as permitted.

9. Disclaimers

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. RepRoom does not warrant that the Service will be uninterrupted or error-free, or that AI feedback will be accurate. RepRoom is a training tool and is not a substitute for professional judgment.

10. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, RepRoom will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits or data. RepRoom’s total liability arising out of or relating to the Service will not exceed the amount you paid to RepRoom in the twelve (12) months before the event giving rise to the claim.

11. Indemnification

You agree to indemnify Rep Room LLC against claims arising from your misuse of the Service or your breach of these Terms — including any entry of real patient information in violation of Section 3.

12. Termination

Either party may terminate as provided in the applicable order or subscription. We may suspend or terminate access for breach of these Terms. On termination, your right to use the Service ends.

13. Governing law

These Terms are governed by the laws of the State in which Rep Room LLC is organized, without regard to its conflict-of-laws rules.

14. Changes

We may update these Terms; continued use after an update means you accept the revised Terms.
